Workplace Specialist

Job Overview

The Workplace Specialist collaborates closely with the Regional Location Manager on all activities and works hand-in-hand with the local HR Operations team.

This role is responsible for daily operations and facility management, ensuring that our teams are fully equipped and empowered to focus on creating great games.

A key aspect of the Workplace Specialist’s role is building and maintaining strong relationships while understanding the unique needs of key stakeholders, including both local and global management.

The success of this role depends on a deep understanding of the matrix structure within the organization, particularly how local and global teams interact, as well as how product groups and support functions align and collaborate.

Start date: March 1st or earlier.

What will you do?

The role encompasses four primary groups of activities:

1. Ensure Safety and Compliance
   • Prioritize the security of people and facilities, ensuring a safe working environment.
   • Collaborate with the HR Operations team to ensure compliance with local laws and adherence to office rules.
2. Be the Face of Wargaming in Berlin
   • Represent Wargaming in interactions with local suppliers and service providers.
   • Serve as the welcoming point of contact for visitors at reception, embodying the company’s values and culture.
3. Manage the Workplace
   • Act as the primary point of contact for day-to-day interactions with the building manager, landlord, and neighbors.
   • Under the guidance of the Regional Location Manager:
     • Allocate seats and office space for employees, ensuring space is used effectively.
     • Regularly review and update the space plan, confirming accuracy in room sizes and correct allocation to respective teams.
   • Oversee the inventory of office supplies, ensuring availability and efficient management.
   • Handle incoming and outgoing postal and courier services, ensuring smooth logistics.
4. Create a Friendly and Efficient Workplace
   • Build and maintain strong relationships with employees on site, including both product groups and support teams.
   • Proactively suggest decorations and furniture updates to enhance the work environment.
   • With guidance from the Regional Location Manager, act as the point of contact for local event planning and management to foster team cohesion and engagement.

Who are we looking for?

• Hospitality, office management, or workplace coordination experience is nice to have but not required.
• Proactive and persistent personality – someone who follows up, makes things happen, and is comfortable negotiating.
• Strong organizational skills – ability to manage invoices, purchase orders, and keep operations running smoothly.
• Event planning mindset – enjoys organizing team gatherings and creating an engaging workplace environment.
• Languages: German (basic conversational, does not need to be fluent) + Fluent English.
• International mindset – comfortable working in a multicultural environment.
• Onsite role only – requires full-time presence in the office.
